This privacy policy explains how Vision A. S. Limited (together “Vision”, “we”, “our”, or “us”) collect and uses the personal data (“personal data” or “information”) that you provide to us and your rights in respect of your information. 

 

We are committed to protect your personal data in compliance with the Personal Data (Privacy) Ordinance, Cap.486 (the “Ordinance”) for delivering our services. Like, your contact details when you submit a request or a job application to us, or your financial information for auditing purposes. Such data will be controlled by us for meeting our professional standards and the data security requirements.

  1. What information is covered?

Your personal information in the course of our business operations will be collected as set out below.
 

  • Identification and contact information

This includes your personal particulars, for example, your name, date of birth, residential/postal addresses, email address, phone number, employment/academic background, marital status, nationality, and any information necessary for us to comply with regulatory and business requirements when you:

a) send us an inquiry or application; or

b) register for our services.

 

  • Business interactions and meetings

Information will be collected to facilitate the purposes considering the contractual relationship between us or your principal, or alternatively provided by you voluntarily for us to provide a service to you, either as an existing or potential client, as well as collected for arranging your attendance at the meetings in advance when we consider reasonable.

  • Relevant information for KYC checking, directorship search and/or taxing/regulatory advice

The personal data in relation to our client intake procedures will be collected to identify any conflict of interests and/or possibility of fraud. We would process your data to obtain information from third party sources. 

  • Recruitment

We will collect your personal data when you apply for a job with us, either directly made to us or through an agency. 

  • Special category data

Sensitive data may be provided by you for us to infer your ethnic origin, religious belief, membership of professional/industrial group, health conditions (physical or mental), sexual orientation, criminal records and other relevant conditions. 

2. How we obtain your personal data

There are non-exhaustive circumstances where your information will be collected:

  • from your communication and our advice or use our online service;

  • either collected physically or on our website, including such data provided by you when you provide or offer service to us;

  • when you are the matter subject, and it is necessary for the third party to provide your information for us to undergo investigation;

  • when you engage with us by any means, either verbal or written, such as by phone, email, or letter;

  • in conjunction with your job application or working relationship with us;

  • from publicly available sources, either physically or online.
     

3. How do we use personal data

  • to facilitate communication with you and provide you with information about our services;

  • to maintain the security of our database for internal record keeping;

  • to fulfill our contractual obligations in accordance with your instructions, which would involves disclosing your information to a third party for obtaining advice or service;

  • to administer our accounting, auditing or any other management services delivered by us to maintain our contractual performance;

  • to process applications for employment;

 

We will not use your information outside our business. You should be noted that the collected information will be processed for our due diligence check, like prevention of fraud, anti-money laundering or any purposes required by law.

4. Our legal basis for processing your personal data

We will only use your information for legitimate aims, like: 

  • it is necessary for our legitimate interests in providing a service to you; 

  • the activity has been agreed by you with a clear and valid consent.

5. Security 

Date protection is our main business practice. We do not allow unauthorized or accidental access and improper use on your information. However, a perfect security cannot be guaranteed for the information transmitted through the Internet. We have developed our procedures, provided continuing staff training, and employed specialty for data security to prevent unauthorized access of your information collected by us.

 

6. Data Retention 

We only hold your personal data on our internal server for the longest of the following periods: 

  • necessary for the relevant activities mentioned in section 1; or

  • the period required by law.

7. Your rights

We respect your rights for accessing and controlling your information under the Ordinance:

Access: a right to access and obtain a copy of your data on request, unless the information is prohibited from your access;

Accuracy: a right to correct or update your information for keeping the personal data as accurate as possible;

Deletion: a right to erase your information from our records on request when you consider such information is no longer necessary for the purposes of processing;

Objection: a right to object or stop the use of your information from the means instructed by you;

Confidential and transfer: the information will be kept confidential and will only transfer to a third party when we have obtained you consent. 

Complaint: a right to take any complaints about our procedure on processing your information. 

8. Changes and Updates

To cope with the newest regulatory requirements, we may update this privacy notice time to time to reflect the updated practices for our services.
